Task Management
How do I create a task?
You can create tasks in several ways:
Type naturally: Tap the + button and type "Submit the report to Sarah by Friday at 3pm high priority" β Ordyn extracts the title, assignee, due date, time, and priority automatically.
Voice: Tap the microphone icon and speak your task.
Camera scan: Tap the camera icon to scan a document β Ordyn reads the text and pulls out actionable tasks.
Siri / Shortcuts: Say "Hey Siri, add a task in Ordyn" or use the Shortcuts app for hands-free creation.
How do I organise tasks by priority or category?
Tap the filter icon (top-right of the task list) to sort or group by Priority, Category, Due Date, or Assignee. You can also use the search bar to filter by keyword or category tag. Swipe left on any task to quickly change its priority, due date, or category without opening it.
Can I set recurring tasks?
Yes. When creating or editing a task, tap "Repeat" and choose Daily, Weekdays, Weekly, Biweekly, Monthly, or a custom schedule. Recurring tasks regenerate automatically after completion so they're always on your list at the right time.
How do I delegate a task to someone?
Open a task and tap "Assign to" β then select a team member from your workspace. They'll receive a notification and the task appears in their Ordyn. You can track the status of delegated tasks from the Team tab β Workload view. Note: delegation requires the Team feature, available on the Premium plan.
What happens when I complete a task?
Swipe right on any task or tap the circle to mark it complete. Completed tasks move to the Completed section (visible in the task list filter β Completed). They count toward your weekly productivity score and completion trend charts. Recurring tasks auto-regenerate for the next occurrence.
AI Features
What is the Daily AI Briefing?
Every morning, Ordyn reviews your tasks, calendar events, habits, and team assignments and generates a short, prioritised brief. It tells you what matters most today, what's at risk, and what to tackle first β with reasoning. The briefing appears on your home screen each morning and can be re-generated at any time by pulling down on the home screen.
How does the Smart AI Booking work?
Tap the AI Search icon (magnifying glass with a spark) and type or speak a request like "find the best nail salon near me" or "book a car dealer appointment tomorrow at 9am." Ordyn searches real nearby businesses using your location, retrieves ratings, photos, and contact details, and presents the best match. You can then:
Tap Call to dial directly
Tap Directions to open Maps
Tap Add to Day to create a scheduled task with the business details
No personal data is sent to the search API β only your query and approximate location.
What is the Productivity Score?
Every week, Ordyn calculates a Productivity Score out of 100 based on task completion rate, habit streaks, meeting adherence, and delegation effectiveness. The score appears in the Insights tab with a breakdown by category. You'll also see a burnout-risk indicator if your workload or overdue rate crosses certain thresholds β giving you a chance to course-correct before you're overwhelmed.
Can I turn off AI features?
Yes. Go to Settings β AI Preferences and toggle individual AI features on or off β Daily Briefing, Smart Task Extraction, AI Search, and Productivity Insights can all be disabled independently. Turning off AI features does not affect core task management, calendar, or habit tracking.
Does Ordyn use my data to train AI models?
No. Ordyn's AI providers are contractually prohibited from training models on your data. Your task context is anonymised before being sent for AI processing and is never stored by the AI provider. See our Privacy Policy for full details.
Calendar
How do I connect my calendar to Ordyn?
Ordyn reads your iPhone's built-in Calendar app, which can sync with iCloud, Google Calendar, Outlook, and other providers. Go to Settings β Calendar Access and grant permission. Ordyn will then display all your calendar events alongside your tasks in the unified Day, Week, and Month views. Your calendar data stays on-device and is never uploaded to Ordyn's servers.
What is conflict detection?
When you create a task with a due time or schedule a habit, Ordyn checks your calendar for overlapping events. If a conflict is detected, a yellow warning banner appears on the task with the conflicting event name. Ordyn can also suggest an alternative time slot β tap "Suggest reschedule" on the warning to see options.
Can I create calendar events directly in Ordyn?
Yes. Tap any time slot in Day or Week view and select "Add Event." Events created in Ordyn are written directly to your iPhone Calendar and sync to all connected calendar services (iCloud, Google Calendar, etc.). You can also use the AI Booking feature to create an appointment event for a business you've searched.
Habits & Streaks
How do I add a habit?
Go to the Habits tab and tap "Add Habit." Enter the habit name, target frequency (daily, weekdays, custom), preferred time of day, and optionally a duration. Ordyn will schedule the habit into your day and flag conflicts with existing calendar events automatically.
What happens if I miss a habit?
Missing a habit resets the streak counter to 0 for that habit. However, all previous habit history is retained. You can review your completion history on the habit's detail page. Once per week, Ordyn offers a "Rest Day" β completing 3 or more habits on any given day earns you a rest credit you can use to skip one habit without breaking the streak.
How does Ordyn intelligently reschedule habits?
When a calendar event is added that overlaps with a scheduled habit, Ordyn automatically identifies the next available slot in your day and moves the habit block there β notifying you of the change. This means meetings can't silently crowd out your routines. You can approve, adjust, or reject the suggestion from the notification.
Team & Delegation
How do I add team members?
Go to Settings β Team β Invite Members and enter your team member's email address. They'll receive an invite to download Ordyn and join your workspace. Once accepted, you can assign tasks to them and see their workload in the Team tab. Team features require the Premium plan.
What can team members see?
Team members can only see tasks explicitly assigned to them or shared with the team workspace. Personal tasks, calendar events, habits, and private notes are never visible to other team members. Workspace admins can see team task statuses and workload summaries β but not personal productivity data or AI briefings.
What is the Workload view?
The Workload view (Team tab β Workload) shows each team member's open tasks, overdue count, and upcoming deadlines in a single dashboard. This lets you spot who is over-loaded before it becomes a problem and redistribute tasks accordingly. Colour coding highlights team members with high, balanced, or low task loads.
Account & Billing
Is Ordyn free?
Ordyn has a free tier with access to core task management, the unified calendar, and basic habits. Premium unlocks AI features (Daily Briefing, Smart Booking, Productivity Score), team collaboration, document scanning, and widgets. Premium is available as a monthly or annual subscription with no ads in either tier.
How do I cancel my subscription?
Ordyn subscriptions are managed by Apple. To cancel: iPhone Settings β tap your name β Subscriptions β Ordyn β Cancel Subscription. Your premium access continues until the end of the current billing period. For billing disputes or refunds, contact Apple Support at apple.com/support.
Does Ordyn require an account or sign-up?
No account is required to use Ordyn's core features. Personal tasks, calendar, and habits are stored locally on your device. A workspace account is created when you invite team members β in that case, a lightweight account is used to sync shared tasks across your team. Premium is linked to your Apple ID via StoreKit, not a separate Ordyn account.
Can I restore my purchase on a new device?
Yes. On your new device, open Ordyn β Settings β Restore Purchases. As long as you are signed into the same Apple ID, premium is restored at no cost. Personal data (tasks, habits, calendar) does not transfer automatically β export your data from Settings β Export Data before switching devices.
Troubleshooting
The AI Briefing isn't appearing β what should I check?
Ensure you're on a Premium plan β AI Briefing is a Premium feature
Go to Settings β AI Preferences and confirm "Daily Briefing" is enabled
Check that Background App Refresh is on: iPhone Settings β General β Background App Refresh β Ordyn
Pull down on the home screen to manually trigger a new briefing
If still missing, force-close Ordyn and reopen it
Calendar events aren't showing in Ordyn.
Check calendar permission: iPhone Settings β Privacy & Security β Calendars β Ordyn β set to "Full Access"
In Ordyn β Settings β Calendar Access, confirm the correct calendars are selected
If you use Google Calendar, ensure it's synced with the iPhone Calendar app via iPhone Settings β Mail β Accounts β Google
Force-close and reopen Ordyn to refresh the calendar data
Voice task creation isn't recognising what I say.
Go to iPhone Settings β Privacy & Security β Microphone β ensure Ordyn is enabled
